Privacy Policy
How credential application information is protected, used, and accessed.
Information We Collect
The portal collects applicant details, scheduling information, reference entries, and admin workflow tracking data entered by authorized users.
How Information Is Used
Information is used to process credential applications, coordinate next steps, and support administrative review workflows.
Storage and Access Controls
Application data is stored in managed cloud services used by this portal, including database records and encrypted file storage for submitted documents. Data in transit is protected with HTTPS/TLS and data at rest is protected by platform encryption controls.
Access is role-based and limited by account type (applicant, network admin, super admin), network assignment, and workflow permissions. Administrative actions are recorded in audit/event logs to support accountability and review.
Security & Access
- Role-based permissions limit who can view or manage records.
- Applicant and admin actions are logged for audit and support review.
- Document storage uses private paths with controlled access links.
- Password authentication and reset flows are handled through managed identity services.
- Session controls and inactivity safeguards reduce unauthorized access risk.
Retention and Record Deletion
Application records are retained according to network credentialing and operational needs. Authorized administrators may remove records and documents when required for cleanup, correction, or policy compliance.
Data Controller and Service Provider Roles
For applicant records, the participating network office is generally the data controller (the party deciding how credentialing records are used). Architect Ministry Solutions LLC operates this portal as a service provider/processor to support those credentialing workflows.
